Privacy Policy

This policy explains what DokMine collects, why, how long it is kept, and who else is involved. It covers the DokMine website and the signed-in document workbench.

The short version: we keep the minimum needed to run your account. We never store your files permanently. The file you upload is held only for as long as it takes to process it, then deleted. The redacted or extracted result stays available to you for no more than 2 hours; after that it can no longer be downloaded, and an automatic sweep erases it from our storage shortly afterwards. We do not read your documents, keep copies of their contents, or use them to train anything.

1. Contacting us

DokMine is an independently operated service. It is run by a small private operator rather than a public-facing company, and we keep our own details off the site for the same reason many of our users value the product: we prefer not to publish personal information we do not need to.

This does not change our responsibilities. Whoever operates DokMine is the party accountable for the data described in this policy, and every request below reaches us at the same address: dokmine8@gmail.com. We answer privacy questions, access requests, and deletion requests sent there.

2. What we collect

Account information

You sign in with Google. We receive and store your email address and a username derived from your Google account. We do not receive or store your Google password. We also record your account tier, sign-up date, last login, and subscription status.

Documents you upload

Files you submit are processed to extract or redact the entity types you selected. We do not store your uploaded files permanently. The file you send is written to temporary storage only for the duration of processing and is deleted as soon as the job finishes — including when a job fails or is rejected. In the rare case where a job is interrupted before that clean-up runs, a scheduled sweep removes any leftover file. We do not store the contents of your documents, and we do not store the personal data found inside them.

What we do retain is limited:

Uploaded original file Held only while the job is running, then deleted immediately. Never retained after processing; a scheduled sweep clears anything left behind by an interrupted job.
Processed output files Downloadable for no more than 2 hours after processing. Once that window closes the file can no longer be retrieved, and a scheduled sweep erases it from storage shortly afterwards. Individual download links are single-purpose and expire much sooner.
Output filename Kept alongside the output file until it is deleted, so the download is named sensibly. Note that a filename you chose may itself contain personal data.
Activity log File type, file size, whether the job was an extraction or a redaction, its status, and the timestamp. No filenames and no document content.

Usage and technical data

Our server keeps standard logs, including IP addresses and requested URLs, for security and troubleshooting. We record counts of documents processed to enforce your plan's quota.

Website analytics

With your consent, we use Microsoft Clarity on our public pages to see how the site is used. See section 5.

Messages you send us

If you use the contact form, we receive your name, email address, and whatever you write. Please do not include confidential documents or sensitive personal data in those messages.

3. Why we use it

We do not sell your personal data. We do not use your documents or their contents to train machine-learning models. We do not send marketing email you did not ask for.

5. Cookies and analytics

DokMine uses a small number of first-party items in your browser to keep you signed in and to remember your analytics choice. These are necessary for the service to work as you asked.

Separately, our public pages can use Microsoft Clarity, which measures how visitors use the site — pages viewed, clicks, scrolling and anonymised session activity. Clarity sets its own cookies and the data is processed by Microsoft under their privacy terms.

Clarity does not load until you accept it. If you decline, no analytics cookie is set. You can change your choice at any time from the Analytics and privacy section on our homepage.

Clarity runs on the public marketing pages only. It has no access to the documents you upload, the entities found in them, or the files returned to you.

6. Who else is involved

We use a small number of third parties. Each receives only what it needs:

Google Sign-In Verifies who you are. Google tells us your email address; we never see your password.
Microsoft Clarity Website analytics on public pages, only with your consent.
Web3Forms Delivers contact-form messages and new-signup notifications to our inbox.
Hosting provider Runs the servers on which DokMine operates.

We do not share your documents with any of them. We may disclose information where required by law.

7. International transfers

Some of these providers operate in other countries, so your information may be processed outside the country where you are located. We rely on those providers' own contractual and security commitments to protect it.

8. Security

Traffic is encrypted in transit. Access to your files is protected by short-lived, single-purpose download links tied to your account, so a link cannot be reused or shared indefinitely. Administrative access is restricted and rate-limited.

No system is perfectly secure. Please do not upload material you cannot afford to have exposed, and keep your own copy of any original file — we return a processed copy, not a backup.

9. Your choices and rights

To make a request, email dokmine8@gmail.com. We may need to confirm your identity first. Note that some records may be kept where we are legally required to retain them.

10. Children

DokMine is not intended for children. Do not create an account if you are under 13, or under the minimum age of digital consent where you live.

11. Accuracy of results

Automated detection is not exhaustive. DokMine does not guarantee that all personal data will be found or removed from a document. You are responsible for reviewing every file it produces before sharing it. See the limits on our homepage.

12. Changes to this policy

We may update this policy as the service changes. The date at the top shows the current version. Material changes will be highlighted in the service.
